Position posting: Administrative Services Manager Brendle Group seeks an Administrative Services Manager to provide administrative assistance to the management team, overseeing general office operations, and provide support services to project managers and the marketing coordinator. The ability to proactively support a dynamic team of professionals who are dedicated to and invested in sustainability is required. Basic literacy and motivation in sustainability is strongly desired. Brendle Group offers a positive and relaxed office environment, including flexibility in hours and family-friendly policies. The position could be expanded to include bookkeeping and accounting responsibilities, depending on applicant skills and experience. Position Responsibilities • Office Operations o Greet guests, answer phones and maintain voicemail system o Creating, maintaining, and updating internal company forms and processes o Creating and maintaining library/reference materials o File organization and maintenance o Maintenance of contacts database o Tracking of company performance metrics o Stocking of supplies and coordination with service providers o Overseeing facilities equipment, supplies, and custodial operations o Responsible for keeping office environment neat and presentable • Executive Assistance o Scheduling o Prepare meeting materials and event planning o Handling information requests o Clerical functions including preparing correspondence, light spreadsheet work, and presentation development and support o General personal assistance • Human Resources o Posting job descriptions, tracking applications, scheduling interviews o New hire orientation o Maintenance of employee manual o Team celebrations and events • Marketing Assistance o Distribute newsletter and provide production support o Vendor and RFP company data forms o Maintain company profile and vendor registration, bids systems o Customer appreciation support o Web-site updates o Production/delivery of proposals • Project Management Support o Project set-up and close-out o Fiscal and budgetary tracking o Insurance certificates and W-9’s o Invoicing o Maintain projects database and resource loading tool o Word processing and report production Required Qualifications and Experience • B.S. or equivalent in business related discipline • 2 years experience in business administration • Thorough knowledge of PC-based software applications • Strong verbal communications and writing skills Preferred Qualifications and Experience • Understanding of basic bookkeeping and accounting practices • Experience with word processing and report production Key Attributes: • Self-motivated team player with enthusiasm for sustainability topics • Adaptable and flexible to changes in deadlines and work focus • Strong focus on customer service through a pragmatic and common sense approach to client needs • “Owns” position responsibilities and is able to effectively manage the time and resources needed to deliver them • Coordinate and communicate with other staff to most efficiently utilize available resources and time of a small company • Willingness to seek feedback Salary and Benefits Brendle Group offers a competitive salary and benefits package, including: • Salary commensurate with experience • Employer paid health and dental insurance • IRA and Employer matching Other Benefits: • Small but growing company with a positive and relaxed office environment • Flexible and family friendly company About Brendle Group Brendle Group is a small but strategically growing company that believes in managed sustainability for everyone.
